How a Multi-Office Engineering Firm Streamlined Employee Apparel with a Custom Merch Store
From manual coordination to a structured ordering system designed for consistency, control, and ease.
Project Overview
THE CHALLENGE
Employees were based across several cities, each with different sizing needs and product preferences. Some wanted lightweight apparel for daily wear, while others preferred outerwear suited for fieldwork. There was also interest in adding personalization to certain items.
Internally, HR was responsible for managing the entire process. This included collecting sizes, tracking selections, and organizing distribution. Relying on spreadsheets and email created unnecessary complexity and increased the risk of errors.
There was also a need for consistent branding. Without a structured system, apparel could vary in quality and presentation, which made it difficult to maintain a unified look across offices.
THE SOLUTION
A dedicated online store was created where employees could browse and select from a curated range of apparel. The product mix included performance polos, casual tees, outerwear, and premium items from trusted brands. This ensured options for both office and field environments.
Each employee received a fixed-value voucher, allowing them to place their own order within a set budget. This approach gave employees flexibility while helping the company maintain clear cost control.
The store also supported customization. Employees could select sizes, choose styles, and add personalization where applicable. All selections were captured automatically through the platform.
Promofect handled the store setup, product configuration, and mockups for approval before launch. The system also included live reporting and order tracking, giving the client visibility throughout the process.
Once the ordering window closed, all selections were consolidated into a single production run to ensure consistent decoration and efficient fulfillment.
